KovaMail is operated by TNZ Productions LLC, a Washington State limited liability company based in Spokane, WA. When we say "KovaMail," "we," "us," or "our," we mean TNZ Productions LLC.

2. What Information We Collect

2.1 Account Information

• Your name and display name
• Your login email address (your business email at your domain)
• Your recovery email address (used only for account recovery)
• Your password (stored as a one-way bcrypt hash — we cannot read it)
• Your domain name(s)
• Your subscription plan and billing information

2.2 Email Content

We store the emails you send and receive in order to provide the service. This includes message headers, subject lines, body text, and attachments. We do not read, scan, or analyze your email content for any purpose other than delivering it to you.

2.3 Usage and Technical Data

• IP addresses used to access your account (for security and fraud prevention)
• Login timestamps and session data
• Server logs (retained for up to 90 days)
• DNS verification records

3. What We Do NOT Do

• We do not scan your email for advertising
• We do not sell your data to third parties
• We do not use your email content to train AI models
• We do not share your personal information with advertisers
• We do not build behavioral profiles for marketing purposes

4. How We Use Your Information

We use your information only to:

• Provide, maintain, and improve the KovaMail service
• Authenticate your identity and secure your account
• Send you transactional emails (receipts, password resets, service notices)
• Respond to your support requests
• Detect and prevent abuse, spam, and fraud
• Comply with legal obligations

5. Data Storage and Security

Your email and account data is stored on servers located in the United States (AWS us-west-2, Oregon). We implement the following security measures:

• Passwords hashed with bcrypt (cost factor 12)
• All data in transit encrypted via TLS
• DKIM, SPF, and DMARC records provided for your domain to publish
• Access restricted to authorized personnel only
• Nightly encrypted backups (AES-256)
• Fail2Ban and rate limiting on all endpoints

6. Data Sharing

We do not sell or rent your personal data. We may share limited information with:

• Service providers: AWS (infrastructure), Stripe (payment processing). These providers are contractually bound to protect your data.
• Law enforcement: Only when required by a valid legal process (subpoena, court order). We will notify you if permitted by law.
• Business transfers: If TNZ Productions LLC is acquired or merges, your data may transfer to the new entity under the same privacy commitments.

7. Your Rights

You have the right to:

• Access: Request a copy of your account data
• Correction: Update inaccurate information in your account settings
• Deletion: Delete your account and all associated data from Account Settings
• Export: Export your email data (coming soon)
• Portability: Receive your data in a standard format

8. Data Retention

We retain your data for as long as your account is active. When you delete your account, your email and personal data is permanently deleted within 30 days upon written confirmation to support@getkovamail.com. We aim to retain server logs for no more than 90 days for security purposes.

9. Cookies

The KovaMail web app uses a single session token stored in your browser's localStorage to keep you logged in. We do not use tracking cookies or third-party analytics. The landing page (getkovamail.com) uses Google Fonts, which may load resources from Google's servers.

10. Children's Privacy

KovaMail is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email at least 14 days before material changes take effect. The current version is always available at getkovamail.com/privacy.html.
